Answer first: create one dated folder for the vehicle, keep the identity documents separate from the work log, and give every photograph, invoice and parts record a simple reference. The pack should show what was observed, what changed, who recorded the work and which document supports it.
Start with a baseline
Record the registration, VIN or chassis number, make, model and the date the project began. Save readable copies of the vehicle documents you actually hold, but keep personal data in a private folder rather than a public project gallery. Photograph the exterior from all sides, cabin, living area, engine bay, underside areas that can be viewed safely, visible identification marks and any damage or incomplete work.
Write observations as observations. “Corrosion visible at the lower edge” is a useful dated note; “structurally sound” is a technical conclusion that the record pack itself cannot establish.
Use a controlled photo log

Take an overview, a middle-distance image and a close-up where useful. Do not overwrite “before” images with edited copies. If a photograph has been annotated, retain the original beside it.
Keep one work record per task
For each task, record the date, area, reported problem, work performed, parts references, supporting photographs, invoice or receipt reference and the name of the person or business shown on the document. If work was paused or a fault remained, say so. Keep estimates separate from paid invoices and planned work separate from completed work.
A parts provenance log can hold supplier documents, markings and compatibility claims without cluttering the main project chronology.
Record decisions and revisions
When a proposed repair or modification changes, add a new dated entry rather than silently rewriting the old one. Note the information considered, the person who made the decision, the superseded drawing or parts reference and the new version. For changes to a vehicle, consult the RSA’s current vehicle-modification guidance and use the vehicle modification document map to organise the source trail.
Build a handover index
Finish with a one-page index listing identity documents, photographs, work entries, parts records, invoices, drawings, instructions, inspection or test documents and unresolved items. Keep originals secure and share copies only where needed. A future owner, inspector or professional should be able to locate the underlying record without treating your summary as proof of condition.
