Answer first: assign each part a log reference, record the exact identifiers used to select it, retain the receipt and source material, photograph labels and markings, and connect it to the installation entry. The log preserves provenance; it does not prove compatibility, quality or safety.
Identify the part precisely

Photograph the part, packaging, labels and any instructions before installation. If the identifying mark is on the old part, record that too, but do not assume that matching a removed component establishes suitability.
Preserve the source trail
Record the supplier or source named on the document, order date, receipt or invoice reference, delivery note and any return or warranty terms supplied. Save a dated copy of product information that informed the choice, because online descriptions can change. This is a document trail, not an endorsement of a business or an indication of current stock, price or availability.
Attribute every compatibility claim
Write who stated that the part was compatible, when, what vehicle information they were given and whether the statement was written or verbal. Keep manufacturer instructions, drawings, specifications or catalog references as separate attachments. If a suitably qualified person reviewed the choice, retain the scope and written record; do not paraphrase it into a broader approval.

Connect the part to the work entry
Record the installation date, odometer reading if useful, the project work-entry reference, who performed the work as stated on the evidence, instructions used, photographs and any report or invoice. Record observations after installation separately from the installation fact. If a concern is identified, mark the item for review rather than declaring it resolved.
Retain superseded and removed-part records
When a part is removed, replaced, returned or superseded, keep the original log entry. Add the removal date, reason stated, condition observed, disposal or storage note and the new part reference. This preserves the chain of changes and prevents an old invoice from being mistaken for the current specification.
